Privacy Policy

This policy explains how your personal data is handled when you buy tickets through ApexGo, the ticketing platform operated by ApexStudio (“ApexGo”). When you buy a ticket, the event organiser(the “Organiser”) is the data controller for your information; ApexGo acts as their data processor, providing the booking, payment and ticketing technology. It applies to purchases made through our checkout widget, at the gate (point of sale) and through our ticketing pages.

What we collect

Order details — your name, email address and (where provided) phone number.
Payment information — processed securely by our payment provider, Stripe. We do not store your full card number; we keep a payment reference and the amount.
Ticket & event data — the tickets you bought, your order reference, and whether/when a ticket was scanned at the event.

Why we use it, and our lawful basis

To fulfil your order — issuing tickets, taking payment, admitting you to the event and handling refunds. Lawful basis: performance of a contract.
To communicate about the event — sending your confirmation and any important updates (for example a change of time or cancellation). Lawful basis: performance of a contract and legitimate interests (keeping you informed about an event you have paid for).

Who we share it with

Stripe — our payment processor, to take and (where applicable) refund your payment.
The event organiser — so they can manage admissions, customer service and refunds for their event.
We do not sell your data, and we do not share it for third-party marketing.

How long we keep it

We keep order and ticket data for 12 months after the event, after which it is deleted or anonymised, unless we need to keep it longer to meet a legal or accounting obligation. You can ask us to delete your data sooner (see your rights below).

Your rights

Under UK data protection law you have the right to:

Access a copy of the personal data we hold about you.
Rectify inaccurate or incomplete data.
Erase your data (“the right to be forgotten”), subject to any legal retention requirements.
Object to or restrict certain processing, and request data portability.
Complain to the Information Commissioner’s Office (ICO) if you are unhappy with how your data has been handled.

Cookies

Our ticketing pages use only strictly-necessary cookies (for example to keep your session and basket working). Where our wider club sites use optional analytics or functional cookies, they are set only with your consent via the cookie banner shown on those sites.
